Privacy Notice: Student work experience/careers events – Parents’ notice
Who we are and why we need your information
We are the London & International Brokers’ Association (LIIBA) which represents the interests of Lloyd’s insurance and reinsurance brokers operating in the London and international insurance markets. LIIBA works with various charities and educational support services to offer work experience and careers events to students aged 14 and above who would like to learn more about career opportunities in the insurance industry. In order to provide these opportunities, we will use information about your child such as their name, age and contact information. We will also collect and use your name and contact information. Sometimes we will use special categories of personal data relating to your child such as health information. For example, if your child is attending an event or participating in work experience, we will need information about their dietary requirements, any allergies and any access requirements.
When we make decisions about how you and your child’s information is used, we are a data controller. We will only use personal data when we are allowed to. This might be because we have a legal obligation, we have a business need or because of a legal claim.
Sometimes we may need to rely on consent to use your child’s information. Where we need this consent to use your child’s information, we will make it clear and the consent can be given by you, or your child (as appropriate). If you or your child provide(s) consent and later change your mind, you can tell us at any time by emailing us at: enquiries@liiba.co.uk. If you do change your mind, we will explain what this means to you and/or your child at the time but it may mean we are unable to contact you and/or your child and your child may be unable to attend our events.
What information do we collect
The categories of student information that we use include:
- Name, age and contact details.
- Information about the school or educational setting the student attends.
- Information about the student’s attendance and interest in our events (such as webinars and work experience).
- Assessment of the student’s performance at our work experience events.
Special categories of student personal data:
- The student’s dietary requirements, any allergies and access requirements where the student attends an event in person.
- Details of any injury if the student is hurt at one of the events we have organised.

The reasons why we use personal data
Marketing
If you or your child (as applicable) have given us consent, we may send marketing to your child by email to promote the insurance industry. We will always offer the option to unsubscribe or opt-out from our marketing emails. You or your child can do that at any time by clicking the ‘unsubscribe’ link in our emails or by contacting us by email at enquiries@liiba.co.uk
Sharing information
We obtain your child’s information from different sources including from you, their school and the charities and educational support services we partner with.
We will share your child’s information with third parties (such as insurance industry trade bodies or institutions (including their member firms), service suppliers supporting our initiatives and Lloyd’s of London) so we can provide your child with work experience or training. For example, we share your information with education and careers support providers (such as Belonging @ LIIBA and Get Involved). We might also share your information with our members where they are hosting or involved in an event which you would like to participate in.
How we keep information safe
We keep information safe by using different security measures. For example, when personal information is stored on our systems, it can only be accessed by a password by LIIBA staff who have been background checked and receive regular training on how to protect personal data.
We will only keep information for as long as we need it or for as long as we are legally required to. Usually, this will be for no longer than three years from the date you/your child joined our distribution list.
Overseas transfers
Generally, we only share your and your child’s personal data with organisations based in the UK. However, in the event that we transfer your personal data outside of the UK, we will ensure that a similar degree of protection is afforded to it. Your data protection rights
Under data protection laws, you and your child have legal rights in relation to your/their personal information, including the right to:
- ask us for a copy/access to information about you/your child that we hold, along with additional details about how we use your information
- have your/your child’s personal information corrected, if it is inaccurate or incomplete
- request the deletion or removal of personal information in certain circumstances (such as where it is no longer necessary for us to use the information for the original purpose it was collected)
- restrict our use of your/your child’s personal information (i.e. allowing its storage but no further use)
- in some circumstances, ask us to transfer your/your child’s personal information that you/your child provided to us to a third party of your/your child’s choice
- object to the use of your personal information (in certain circumstances) and an absolute right to object to the use of your personal information direct marketing (including profiling)
- not be subject to decisions based purely on automated processing where it produces a legal or similarly significant effect on you/your child (we do not carry out any such automated processing)
